How to turn meeting notes into action items

· 5 min read

To turn meeting notes into action items, pull out every commitment, give each one a single named owner and a specific deadline, write it as a verb-first task, put it in the tool your team already checks, and review it at the next meeting. Most follow-up fails at the owner and deadline step, not at the note-taking step.

Step 1: Separate commitments from discussion

Notes are mostly discussion. An action item is a promise that someone will do something. Scan for phrases like “I'll”, “can you”, “we need to”, “by Friday”, or in Hinglish “main kal tak bhej dunga”.

Step 2: Give every item exactly one owner

“The team will review the contract” has no owner, so nobody does it. Pick one accountable person per item. Others can help, but one name goes on the task. If nobody volunteered, the item is not an action yet. Assign it before the meeting ends.

Step 3: Attach a real deadline

“Soon” and “next week” are not deadlines. Convert relative dates to calendar dates using the meeting date: a meeting on Wednesday 14 October with “by Friday” means 16 October. Write the date down. If no one can commit to a date, record that as a risk.

Step 4: Write each task so it can be finished

  • Start with a verb: “Send revised API docs to partners”, not “API docs”.
  • Make the finish line obvious: what does done look like?
  • Keep the source: note the sentence from the meeting it came from, so the context is never lost.

Step 5: Put it where work happens and follow up

Action items in a document get forgotten. Create them in your task tool (Jira, Notion, GitHub Issues, Linear and so on), notify the owner directly, and check the open list at the start of the next meeting. Reminders before the deadline and a nudge when something is overdue close the loop.

Automating the method

Notemaker does steps 1 to 5 automatically: it extracts commitments from the transcript, matches speakers to team members, resolves dates, flags anything with an unclear owner or deadline for a human to decide, syncs approved tasks to your tool and sends the reminders.

Frequently asked questions

What makes a good action item?

A good action item starts with a verb, has exactly one named owner, has a specific calendar date, and states what “done” means. It also links back to the meeting it came from.

How many action items should a meeting produce?

There is no fixed number, but if a one-hour meeting produces more than about eight, some are probably discussion points or the work should be split across more owners.
